TELEPHONE MESSAGE ADVERTISING REALLY DOES WORK! ... and it works in situations you'd least expect ... MONITORING CALL VOLUME If you're monitoring your call volume (and you should be if you want to know how well your outside marketing is working), you may notice an increase in certain aspects of your marketing when it comes to clarification of selling points. or other key information. That essentially means a certain percentage of your callers are contacting you for specific information, information which could be placed on your on-hold message to save time spent on hold. For example, many new customers may call in just to find out when you're open for business. Once they hear your hours of operation on your on-hold message, they've got their question answered ... and they hang up (which is a GOOD hangup) ... thereby freeing that line up to take another incoming call! That's why sometimes it's best to ask your PBX operator or receptionist what the most common questions they are asked by incoming callers and making the best use of those questions by providing those answers in your company's on-hold message! THAT "OH-SO-IMPERSONAL" AUTO-ATTENDANT It's only natural to look at your company's bottom line, especially when it comes to fielding a lot of calls in a small to medium-sized company. Many companies are choosing telephone systems that incorporate the auto-attendant feature ... the feature that research has shown many callers find frustrating and annoying. Most auto-attendant systems are designed to give the incoming caller multiple options to select from, thereby routing the caller to their desired destination in as short a period of time as possible. Many companies regard the auto-attendant as a money saver in NOT having to pay PBX personnel to answer a telephone and route the call. That's an extra payroll expense that makes the auto-attendant feature even more valuable, even though the negative may outweigh the positive. The downside to the auto-attendant, besides the lack of human element, is the number of options being given AND the frustration of time the caller perceives is wasted muddling through all of the options. For example, if you let the caller select a function such as, "To get directions to our store, PRESS 4" ... "To find out about our hours of operation, PRESS 5" ... all of these functions route the caller to a pre-recorded, impersonal, standardized response, which at the end of that response, usually end up hanging up on the caller, or asking the caller if they'd like to return to the MAIN MENU. This also misses the opportunity to discreetly market your services to your caller. Options #4 and #5 could have been utilized on your on-hold message, which when music is added, places the caller in a less impersonal, more friendly setting, where their defense mechanisms are lower ... on hold. Remember, your caller has another option ... simply hanging up. When that happens, you lose business. The auto-attendant feature, when coupled with the use of an on-hold message, doubles the amount of time your caller will actually stay on the line ... waiting for potential human contact ... which is really what they wanted in the first place. Everyone wants to be "accepted", even your incoming callers! Adding an on-hold message to your transfer time bridges the gap between the initial point of caller contact and the time the caller is actually handled by your company representative! THE ULTIMATE GUERRILLA MARKETING WEAPON The real question is ... why play the radio or a music CD on your business's on-hold system when you could be advertising and promoting your own services to your clients when they're holding? When you play the radio on hold, not only are you breaking the law by rebroadcasting commercial content, you also allow your callers to possibly hear your competitor's radio advertisements! When your competitors advertise on the radio, they know that a lot of their competition has on-hold advertising message systems and that they simply take the easy way out and just plug in a radio! What a great way to promote their services to your clients! When you put your callers on hold, their "defense mechanisms" are naturally lower. They become more receptive to the "power of suggestion" because they're simply hearing recorded messages and are not being asked to make a decision by a human being, which raises the caller's defense mechanisms. With your on-hold advertising, you subtly suggest things to the caller that can benefit them and ask them to discuss it with you when you handle their call. Having on-hold messaging can help "buffer" your call traffic and increase your sales! Why wouldn't you want those kinds of results for your business? WHEN "FUNNY" WORKS ... On occasion, a client will request that humorous material be placed on their on-hold message. Copyrighted, pre-recorded material can be used ... or ...
